The records

What is kept, per device.

Service and maintenance

A plan with the next due date, and a log of what was done, by whom, with document references. Overdue service is an Action Centre signal and, after 7 days, can raise a non-conformance.

Cleaning and decontamination

Schedules per device or model, a log per event, and a signal when a device has gone 24 hours without one.

Downtime and availability

Open a downtime record when a device is out, close it when it is back, and read availability per device and across the fleet.

Location and custody

Transfers between wards and sites with a history, updating the device's location and department everywhere else in the platform.

Temperature

Sensors for fridges and rooms, readings from any source, excursions with limits, and an acknowledgement that records what happened and which lots were checked.

Firmware

A target version per model and a compliance view showing which devices are behind.

Reagents in use

Opened date and in-use stability per vial or cartridge box; a box still marked in use after its stability ran out is a signal.

Connectivity and silence

Fleet connection status, message rates and uptime, with an alert when a device that should be talking has gone quiet.

Why it is here and not on a clipboard

The record is only useful if it is where the question is asked.

  • Inspection: equipment items in the ISO 15189:2022 audit checklists link directly to the maintenance, decontamination, custody, temperature and software-control records for the device in question.
  • Management review: fleet availability and overdue counts are pulled into the pack automatically.
  • Attention: overdue service, unacknowledged excursions, expired in-use reagents and devices logged as down are Action Centre signals with a link to the right tab.
  • Escalation: a nightly job turns unacknowledged excursions (over 24 hours) and overdue services (over 7 days) into non-conformances, so a missed clipboard entry does not stay missed.
  • Traceability: the reagent and control lots on a device at the time of a result are recorded, so a recall can be traced to results.

Sentry: continuous temperature monitoring

For fridges and rooms that need watching every minute rather than once a day, Sentry adds alerted sensors as an add-on. Its readings land in the same temperature register.

Catenix is connectivity, workflow, record-keeping and data display. It does not interpret results, calculate clinical values, classify or flag results clinically, or provide clinical decision support. Which equipment records does Catenix keep?

Service plans and service logs, cleaning schedules and logs, downtime records with availability, location and custody transfers, temperature sensors with readings and excursions, firmware targets with compliance, and opened reagents with in-use expiry. All per device, per site, with a fleet summary.

What happens if nobody acknowledges a temperature excursion?

It appears as a critical Action Centre signal immediately. If it is still unacknowledged after 24 hours, the nightly escalation can open a non-conformance in Quality Management automatically. A planned service more than 7 days overdue is treated the same way.

Does a transfer update the rest of the platform?

Yes. Moving a device between wards or sites updates its location and department on the device record, so results, QC and dashboards agree on where it is.

Can an auditor follow the link from a checklist item to the record?

How does this relate to Sentry environmental monitoring?
