The problem: volume breaks the paperwork

A workplace screening contract is not one patient at a time. It is eighty employees over two days at a client's premises, a second contract at your own clinic the same week, and a mobile unit somewhere else entirely. The clinical work is usually fine. What breaks is everything around it:

  • Results scattered across devices and spreadsheets. The cholesterol lives on one analyser, the haemoglobin on another, the audiometry in a third program, and someone re-types all of it into the report template on Friday.
  • Corporate clients who want evidence later. Months after the screening day, an HR department or a lawyer asks who tested a particular employee, on which device, and against which consent. The answer is a search through emails and paper.
  • Chain of custody by goodwill. A result on a printout with a handwritten name is not custody. If the sample, the device record and the worker's identity are not linked at the moment of testing, they never truly are.
  • Multiple sites, one overloaded coordinator. Each screening location does things slightly differently, and only the coordinator knows how it all fits together.
  • Invoicing from memory. The invoice is rebuilt from the diary and the spreadsheet, and the two rarely agree on the count.
